1. Who we are
Exactitude Bookkeeping Inc. ("we", "us", "our") is a virtual bookkeeping firm based in Woolwich, Ontario, serving Canadian small and medium businesses. This policy describes how we handle personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA).
2. Information we collect
We collect information you submit through our contact form (name, email, phone, business name, message) and information necessary to perform bookkeeping services for clients under engagement (financial records, supporting documentation, identifiers required by CRA).
3. How we use information
We use submitted information solely to respond to your inquiry, deliver contracted services, comply with legal obligations, and communicate as permitted under CASL. We do not sell or rent personal information.
4. Storage and security
Client financial data is stored in audited cloud platforms (QuickBooks Online, Dext, Fathom) with multi-factor authentication, least-privilege access, and encrypted transfer. Contact-form submissions are stored in our managed backend (encrypted at rest) and accessible only to authorised personnel.
5. Retention
We retain client records for the period required by CRA and applicable Canadian tax law (typically six years). Contact inquiries are retained for up to 24 months unless a client relationship is established.
6. Your rights
You may request access to, correction of, or deletion of your personal information by contacting us. We will respond within 30 days as required by PIPEDA.
